Boxes A through F: The alphabetical boxes at the top and left of the document contain identifying information for you and your employer, including your legal name, address, Social Security number, and your employer’s tax identification number . (The “control number” is just a unique identifier to identify your W-2 in your employer’s system.)
Boxes 1 and 2: These two boxes contain the most important information for most taxpayers: your total wages, tips and other compensation, and the total federal income tax withheld for the year.

Boxes 3 through 6: These boxes show how much of your income is subject to Social Security and Medicare taxes, as well as how much taxes you paid for both.
Boxes 7 and 8: If you receive compensation in the form of tips, these two boxes indicate the amount of tips you reported and the amount your employer reported in tips paid to you.
Box 9: Don’t worry about Box 9 being mysteriously grayed out. It was formerly used to report advance payments for the Earned Income Credit. This tax benefit ended in 2010, but the box remains.
Boxes 10 and 11: Box 10 lists any dependent benefits you may have received, while box 11 contains any deferred compensation.

Box 12: This box contains additional offsets or reductions in taxable income, and 28 possible items can be included here, each designated by a one- or two-letter code. Some of these codes must be included on your tax return, while others are for informational purposes only.
Box 13: Three options here indicate income that is not subject to federal tax: an employer-sponsored retirement plan (such as a 401(k) account), third-party health benefits (such as private insurance ) or money earned as a statutory employee.
Box 14: This box serves as a catch-all for your employer to report any additional tax information, such as tuition assistance or union dues. Employers can also include certain state and local taxes here.
A common entry in box 14 is the state disability insurance payment, which may be deductible for some taxpayers.

Boxes 15-20: The boxes at the bottom of your Form W-2 show your income and withholding data for the tax year as it relates to your state taxes. This section also includes your employer’s state identification number.
You should have received your Form W-2 by January 31, 2023. This is when employers are required by law to send W-2s to all employees and the IRS.
Although many companies still send W-2 forms by mail, many also make them available online. Your W-2 form may come from a third party that handles payroll for your business, such as ADP or Gusto.
Make sure your employer hasn’t emailed you instructions on how to access your W-2 form online. According to IRS Publication 15A, employers can provide electronic versions of W-2 forms if employees consent. (Be sure to check your spam and junk folders in case the email gets there.)

If you have not received instructions, contact your human resources or payroll department to inquire about the status of your W-2. You can also contact them if you have lost a W-2 that was sent to you.
If your employer does not help you, you can contact the IRS directly at 800-829-1040. The agency will contact your employer and request your missing W-2 form for you.
The IRS recommends waiting until the end of February to see if your W-2 arrives before contacting them. You will need to have certain information to verify your identity:
If you still do not receive or cannot access your Form W-2 by April 18, you can file your tax return using Form 4852, a substitute for the W-2 that allows you to estimate your income and your tax withholding. If you later discover that the information on your return is different from that on your W-2, you will need to file an amended return.

You can also file Form 4868 and request a six-month filing extension which will give you more time to find your W-2. If you think you don’t have to pay taxes, you don’t have to pay anything. If you owe taxes, you’ll have to pay an estimated amount when you file your extension or risk a penalty later. Every year around this time, mailboxes across America are filled with tax forms. Sometimes these tax forms are sent directly to a tax professional, unopened. Other times, taxpayers can dutifully open these forms and enter the information, box by box, into tax preparation software. In either case, it is not uncommon for taxpayers to not understand the meaning of all the numbers, letters, and other information on these forms. That’s about to change.
This week, I’m going to break down some of the most basic tax forms for you. The more you know, the less scary some of these shapes can be.
A W-2 form is issued by an employer to an employee. This is of some importance, and not just for tax reasons. An employer has certain reporting, withholding, and insurance requirements for employees that are a little different than those owed to an independent contractor.
The threshold for issuing a W-2 form is based on dollars – nothing else matters. No time worked. No position occupied. Just dollars (or dollar equivalents) earned. The magic number is $600. Any employer that pays at least $600 per case (or the cash equivalent, including taxable benefits) must issue a Form W-2. If taxes are withheld, including those from Social Security or Medicare, a W-2 form must be issued regardless of the amount paid to an employee.

Copy A is sent to the Social Security Administration (SSA) along with a Form W-3 (Form W-3 shows the total of all Form W-2s for the employer). The deadline for employers to report this information to the SSA is February 28. Copy 1 is issued to any applicable state, city, or local tax department. Copy D is kept by the employer.
As an employee, you receive three copies of your W-2 form. These three copies must be delivered no later than January 31 of each year. Copy B is used to report your federal income taxes and is generally filed with your federal tax return (unless you file electronically, in which case you must provide it to the preparer but it is generally not transmitted to the ‘IRS). Copy 2 is intended for use in reporting your state, city, or local income tax and is filed with the appropriate taxing authority. Copy C is for your records (you must keep Copy C for at least three years after you file or the due date of your return, whichever is later).
The left side of the form is intended for reporting taxpayer information; the right side of the form is used to report financial data and codes. The bottom of the form shows local and state tax information.
Box A. Your social security number (SSN) is listed in box (a). You should always check this to make sure it is correct. If this is not correct, you must request a new Form W-2 from your employer. An error could slow down the processing of your return.
